Corporate Executive Assistant

Position Overview:

Our Corporate Executive Assistant will support one or more of our C-Suite Executives.

You will perform numerous administrative support activities, many of which are highly confidential or sensitive in nature for a senior-level executive. The successful candidate will use their discretion and judgment in the planning and performance of all the duties and functions of the job.

This position supports operations by compiling, formatting, and reporting information and materials, tracks response data from various action items, responds to inquiries from managers and employees, and develops tracking tools for group tasks and projects while maintaining a master calendar for group activities. You will manage calendars and schedules, make travel arrangements, and processes expense report and accounts payables/invoices.

The position is based in our Centreville, VA corporate headquarters.

SPECIFIC ADMINSTRATIVE RESPONSIBILITIES:

  • Provide a full range of administrative and/or secretarial services to C-Suite Executives.

  • Schedule and organize complex activities such as meetings, domestic and international travel, video conferences, town hall meetings and department activities.

  • Organize and prioritize large volumes of information, inquiries, requests, and phone calls.

  • May prepare agendas and meeting briefings.

  • Summarize contents of incoming materials requiring knowledge of technical matters.

  • May be responsible for project coordination for small routine projects

  • Complete expense reports and payment of invoices.

  • Receive and screen visitors, telephone calls, and mail. Personally respond to inquiries for information and/or delegates inquiries requiring special knowledge and expertise to individuals in various departments who can provide appropriate responses. Prioritize responses to incoming calls and to contacts from both inside and outside the Company.

  • Prepares correspondence and reports, much of which is confidential in nature. Author non-routine correspondence from brief notes or verbal instructions and composes replies to selective correspondence on own initiative. Initiates drafts of replies to other correspondence or inquiries for review and signature by executive. Proofreads and/or reformats drafts of documents created by executive for spelling, grammar, and clarity of communication so that final correspondence is signature ready.

  • Establishes and maintains follow-up files and confidential files.

  • Initiates and may develop routine and non-routine reports as appropriate. Research and compile statistical information and related data, produce special or recurring reports, and complete special projects as assigned. Produce and distribute data in graphic, spreadsheet, or narrative format.

  • May coordinate arrangements for special events including contacting vendors, analyzing competitiveness of pricing, and ensuring timely service or delivery of goods, and authorizing payment.

  • Backup support to other C-Suite Executive Assistants.

EDUCATION/EXPERIENCE:

  • Associate degree in Business Administration (or equivalent) and 15+ years of experience, including at least 5+ years in an administrative capacity, ideally for a marketing or communications executive.

  • Ability to compose and draft correspondence, including letters, memos, and reports of a highly confidential nature.

  • Proficiency in keyboard skills and the utilization of MS Windows and related word processing, spreadsheet, database software, and presentation/graphics software.

  • Excellent written and oral communication skills note taking and proof-reading abilities.

  • Excellent attention to detail and follow through.

  • A degree in Marketing is a plus.

SKILLS/COMPETENCIES :

Exceptional written and verbal communication, organizational, and interpersonal skills are required. Demonstrated ability in exercising tact, diplomacy, good judgment, and professionalism is also required. Exceptional attention to detail, research and data gathering ability, analytical and negotiation skills.

Willingness to accept and embrace change in a fast-pace environment. Ability to work in a fast-pace environment with little to no supervision. Ability to prioritize tasks and manage multiple projects.

Great work ethic accompanied by get-it-done attitude. A knack for problem solving and enjoy helping others. Demonstrated ability to work collaboratively. Ability to maintain strict confidentiality.
