Our team is looking for experienced Executive Assistants who will support a United States Space Force organization to support the standup/operations of a cyberspace defense unit and help to define the transformation of Cyberspace Operations in USSF. This organization requires contract support in the form of executive-level support to operate/manage all unit programs (i.e. business rules, collaboration, taskings, executive correspondence, etc.). Additionally, this person could inform and manage personnel, manpower, unit readiness, financial, and by-law programs and would be the contractor Team Lead for a group of executive assistants supporting this effort.

Job Duties

  • Serves as an executive advisor on unit manpower/personnel, financial, readiness, and business operations programs and initiatives within the unit

  • Manages unit resources for executive support, services and activities

  • Manages business rules and workflows/correspondence

  • Manages team of executive assistants supporting this customer

  • Prepares reports & related correspondence in accordance w/ USAF/USSF regulations

  • Develops and oversees meeting agendas

  • Provides program management support

  • Organizes conferences & events (remote or on-site/in-person)

  • Acts as a direct liaison for Command staff

  • Liaises with outside agencies to include the Mission Support Group, Operations Group, Wing Staff and HHQs

  • Analyzes special projects and action times to provide administrative support to staff

  • Reviews all materials submitted for projects is related and procedures are met

  • Creates new administrative policies and procedures for the unit

  • Manages unit training programs involving unit business practices

  • Prepares and delivers presentations such as briefings, training sessions, and consultations with service Commander(s), other staff agencies and functional areas to secure cooperation, resolve controversial matters and convey information

  • Participates in special studies and projects relating to planning, coordinating, and analyzing the effectiveness/efficiency of the unit

  • Collaboration:

  • Oversees collaboration and workflow/tasking software/processes

  • Acts as unit's SharePoint administrator; manages unit's KM requirements

  • Research office automation tools, read vendor manuals and applies techniques to developing new approaches pertaining to administrative practices and clerical procedures for processing and routing of correspondence

  • Manpower/Personnel:

  • Tracks and ensures completion/quality of military/civilian appraisals, awards, and decorations of all personnel in a timely manner

  • Assists in managing the unit recognition program

  • Tracks inbound/outbound of Command personnel and manages duty rosters

  • Manages in-processing and out-processing activities

  • Assists in managing the sponsor program

  • Acts as the point of contact for all newly assigned personnel

  • Schedules new personnel initial training/orientation requirements

  • Monitors family care program on all unit members (as required)

  • Reviews action papers for style, composition, and grammar accuracy

  • Prepares travel orders for assigned personnel

  • Manages Leave Web & other duty status programs

  • Assists in overseeing the unit fitness program

  • Health Programs Monitor - Schedules unit personnel's annual dental appointments, monitors IMR sites for trends on personnel that could interfere with unit mission requirements

  • Defense Travel System (DTS) administrator

  • Monitors and maintains Unit/Deployment Manning Documents (UMD/DMDs)

  • Maintains manpower documents

  • Coordinates UMD changes such as functional account codes, Air Force Specialty Codes etc.

  • Reconciles Unit Manning Documents with position control roster and identifies mismatches

  • Ensures changes and corrections are made in the Manpower Programming and Execution System (MPES)

  • Analyzes manpower documents for accuracy and ensures that products are distributed to customers

  • Manages calendars, meetings, read ahead material; attendees for assigned leaders

  • Other duties as required

Required Skills

  • Bachelor's degree and minimum 10 years of professional experience with at least 3 years of experience in an executive assistant role

  • Superb interpersonal and communications skills; excels at establishing and maintaining effective work relationships with team members

  • Willingness to accept and embrace change in a dynamic, fast-paced environment

  • Demonstrated ability in exercising tact, diplomacy, ingenuity, good judgment and professionalism

  • Exceptional attention to detail, the ability to research and gather data, strong analytical and negotiation skills are required

  • Ability to multi-task and prioritize work effectively

  • Great work ethic accompanied by a get-it-done attitude. A knack for problem solving and enjoys helping others. Demonstrated ability to work collaboratively. Ability to maintain strict confidentiality

  • Proficiency in keyboard skills and the utilization of MS Windows and related word processing, spreadsheet, database software, and presentation/graphics software

  • Must be a US Citizen

  • Ability to obtain a Secret security clearance

The anticipated annualized full time target compensation (median) for this position is: $125,000.00.Benefits for this position include: medical, dental, vision, paid time off and 401K.
