Job Description:

POSITION OVERVIEW :Directs and guides the administrative activities for all functions within the Expansion of U. S. Testing Capacity Using Coordination Hubs. Functions may include, but are not limited to: accounting, facilities, human resources, and/or administrative support services. Specific program activities will determine activity of emphasis. This administrative position may require the incumbent to exercise discretion and independent judgment in order to meet established objectives. Experience in coordinating and administering a variety of activities enable the incumbent to relieve the manager of most day-to-day details. May provide guidance to lower-level administrative support personnel. SPECIFIC RESPONSIBILITIES :Relieves manager of administrative tasks to keep the Program running smoothly. Understands priorities within the PMO office and helps ensure that they are met. Establishes PMO guidelines and procedures; anticipates where problem areas may arise; evaluates alternative methods of accomplishing tasks and meeting goals; and initiates suitable action. Keeps current on all Company policies and procedures, interpreting and administering same.Works with the PMO Managers to support various aspects of the program as needed.Provides support to the PMO Managers including filing and record storage.My be responsible for managing databases with sensitive data to ensure HIPPA, PCI, and PHI sensitivity/security requirements are complied with.May support the program by attendance at meetings with the client or others. Supports the preparation of meeting minutes. Keeps manager informed of all pertinent action/pending action. May make informal internal presentations occasionally (to PMO managers/team).Initiates reports, as appropriate, for any or all functions. Gathers, organizes, and analyzes materials; produces and distributes data in graphic, spreadsheet, or narrative format. May develop computerized logs. Develops guidelines for standard reports from each function.May provide guidance to lower-level administrative support personnel, assigning work, reviewing completed assignments, and offering training and guidance. May provide input for, or complete, performance evaluations of lower-level administrative personnel.Performs other responsibilities associated with this position as may be appropriate. KEY RELATIONSHIPS :Supervision Received - Program Manager, Deputy Program Manager, and other PMO Managers, District Manager; Supervising Specialist; Lead SpecialistSupervision Given - Lower-level Administrative/Clerical employees (technical guidance only)Internal Contacts - All Employees in program (mostly PMO Managers)External Contacts - Clients; Suppliers; Government Agencies

EDUCATION/EXPERIENCE: 4-year degree in Business (or equivalent) and 5-8 years of experience in an administrative capacity (preferably in the assigned area of specialty), including at least 3 years of lead/supervisory experience.

SKILLS/COMPETENCIES :Strong written and verbal communication, organizational, and interpersonal skills are required. Additionally, a demonstrated proficiency in keyboard skills and the utilization of MS Windows and related word processing, spreadsheet, and database software, is required. A familiarity with company policies and procedures is preferred, as well as a demonstrated ability to administer a variety of activities simultaneously, set priorities, and meet deadlines.
