We are currently looking for an Bilingual Administrative Assistant to contribute to the success of the Ottawa office.

Responsibilities

  • Welcome visitors during business hours at the front desk

  • Coordinate the receipt of goods and parcels

  • Process and record incoming and outgoing mail

  • Monitor and maintain supplies and equipment service for office needs

  • Liaise with the building owner/property manager

  • Coordinate the management of the office at the corporate level

  • Manage the filing of various documents

  • Manage the staff contact list

  • Assist professionals with the formatting and preparation of reports and spreadsheets

  • Check the spelling, syntax and layout of professional reports

  • Ensure proactive and effective communication with customers and partners

  • Participate in the planning and coordination of events

  • Receive and record employee expenses

  • Perform various tasks such as scanning documents, booking conference rooms, etc.

  • Provide administrative support to employees and orientation for new hires.

Qualifications

  • Post-secondary office or business administration education

  • Bilingualism (French and English) is mandatory

  • Minimum 2 years of experience in office administration (Excellent knowledge of Microsoft Office software (Word advanced level, Outlook, Excel and PowerPoint intermediate level)).

  • Ease in communication and collaboration with different parties (engineers, planners, technicians, customers, other Parsons offices around the world)
