Job Description:

Parsons is looking for an amazingly talented Office Management/Staff Officer to join our team! In this role you will get to support the Component's Office. The office manager/staff officer/functional specialist, will independently perform a wide range of functions and tasks, which require vision, leadership, and proficiency in assisting in the development and communication of various correspondence. The skill of problem identification, analysis, and resolution is central to the effective conduct of their activities as is the ability to work from an Agency perspective and coordinate across key components, integrated program offices. This person would also provide administrative support to the Data & Digital Innovation (DDI) Component’s Office Chief Data Officer and the Deputy Chief Data Officer. They will develop pertinent information with the communications officer and provide to the Government POC for communication to varied audiences (e.g. NGA, DoD, IC, Federal Government, Congress, the public, the international community, and private industry ).

What You'll Be Doing:

Provide administrative duties such as:

  • Scheduling and coordinating meetings, calendars, and events;

  • Gathering, inputting, and retrieving electronic data;

  • Maintaining files and folders;

  • Researching and analyzing information and data to prepare reports, presentations, and papers;

  • Preparing routine correspondence in accordance with NGA standards;

  • Preparing and distributing briefing and read-ahead materials;

  • Coordinating with DDI front office to maintain office supplies,

  • Initiating equipment trouble tickets or replacements, and coordinating office or equipment moves.

  • Scheduling travel arrangements in MET and DTS for the CDO and Deputy CDO.

  • Possess experience working with other NGA directorates and with NGA systems such as Peoplesoft, conference room scheduling tool and scheduling, setting up VTCs/telecons/IC Connects, outlook calendars and scheduling, Webex scheduling/facilitating meetings in Webex and all other meeting software to include MS Teams, VTC, and IC-Connect.

  • Work on multiple projects with varying deadlines under fast-paced conditions; must be able to adjust working hours as necessary to accomplish the mission.

  • Working knowledge DoD tasker system applications and processes to prepare periodic taskers, in coordination with government and contractor staff

  • Prepare staff package status reports and develop metrics to keep leadership aware of late, pending, and new actions.

  • Assist the CDO Program Manager with coordination and reporting of Plan of Action & Milestones across all CDO projects, to include creation and routing of requisitions, financial reporting and information; with latitude for independent judgement regarding the resolution of staff and administrative management problems.

  • Use the Microsoft Office Suite to create, review, maintain, and edit SOPs and informational products.

  • Collect, process, organize, and manage records in accordance with appropriate NGA Instructions or guidelines.

  • Transfer data across various networks as needed.

  • Schedule conference rooms and coordinate VTC connectivity, and ensure appropriate read ahead support is provided to attendees.

  • Organize and support various NGA, IC, and DoD joint meetings, forums, and events, as required.

  • Work close with the communications officer to prepare documentation for both internal and external dissemination, to include working with the office of public release.

  • Update the CDO SharePoint site as needed and maintain the organizational chart, and official call roster and badge buddies.

What Required Skills You'll Bring:

  • At least 12 months of demonstrated experience supporting an Office Director/Front Office level staff at NGA or another DoD or IC level agency.

  • Bachelor’s degree in any field of study

  • Experience and knowledge using a DoD tasker system.

  • Experience and knowledge using SharePoint, MS. Project, and Visio

  • Proficiency in Word, Excel, and PowerPoint

  • Working knowledge of a DoD travel system and travel reporting system.

  • At least 24 months demonstrated experience analyzing job-related problems and recommending solutions requiring coordination across multiple areas, disciplines, and organizations.

  • At least 24 months demonstrated experience in planning and implementing programs/projects involving diverse objectives.

  • At least 24 months demonstrated experience implementing business operations process improvements.

  • Knowledge of IC, Department of Defense, and NGA offices and programs.

  • Top Secret SCI clearance is required

What Desired Skills You'll Bring:

  • Working knowledge of NGA’s PRISM, GEO-F and GEAR systems; to include preparing requisition documents and running financial reports.

  • Working knowledge and expertise using NGA’s NCERTS tasker system.

Salary Range:

$83,300.00 - $145,800.00
